Personal Assistant

JoinwellFXB, a long-established furniture company in Malta with decades of industry expertise, is currently in search of a full-time Personal Assistant to provide direct support to the Business Development Manager at various levels.

As the Personal Assistant, your key responsibilities will include:

  • Organizing and managing the Business Development Manager's workload, engagements, and work environment.
  • Maintaining and updating the manager's schedule, including making travel arrangements and coordinating events.
  • Handling incoming communication, such as emails and correspondence, and preparing letters and documents when required.
  • Assisting in preparing meeting agendas and attending client meetings to record minutes and follow up on action points.
  • Managing the showroom roster, including managing absences.
  • Monitoring the training requirements of the Sales team and organizing training sessions accordingly
  • Coordinating supplier visits and managing sales teams' overseas training.

The position requires an outgoing individual with a strong command of the English language, capable of working independently and possessing the following skills:

  • Excellent organizational skills to efficiently handle tasks and responsibilities.
  • Good multi-tasking abilities to manage various aspects of the role effectively.
  • Excellent telephone and email etiquette to maintain professional communication.
  • Proficiency in Microsoft Office for various administrative tasks.
  • Willingness to learn new skill sets within the interior design industry as well as the project management of the same.

While candidates with previous experience in a similar environment will be considered an asset, the company is willing to provide extensive training to the chosen candidate. Project Leader

JoinwellFXB, a leading furniture company resulting from the merger between Joinwell and FXB, is looking for a Project Leader to join its Operations team. The ideal candidate will have a passion for the furniture, furnishings and finishings industry and possess excellent interpersonal skills. As the Project Leader, you will be responsible for implementing mainly furniture installations through to completion; including any necessary surveys, supplier orders' confirmations, coordination of delivery and installation and snagging.

As the Project Leader, your key responsibilities will include:

  • Surveying the site against the designs and advising the designers, customers and suppliers of any anomalies between the site and the designs.
  • Assist in the taking of any necessary decisions to address the anomalies to the best interest of all parties.
  • Following up on the above final decisions and ensuring that all parties are proceeding as agreed.
  • Coordinate the installation to ensure that it efficiently reaches the expected quality levels.
  • Follow-up on any snagging requirements and ensuring that these are completed in the shortest possible time.
  • Collect feedback from the customers as well as generate own feedback to assist the company to achieve higher performance levels.
  • Offer support to other teams on other projects.

Preferred Skills and Qualifications:

  • Must have a good working knowledge of surveying and CAD software.
  • A can-do problem solving attitude, looking for solutions rather than simply stopping at identifying issues and challenges.
  • Be meticulous and have an eye for detail.
  • Have a hands-on approach, possess an understanding of the technical intricacies of the products being assembled as well as being able to follow technical drawings to understand progress of works and adjust where necessary.
  • Positive attitude, good aptitude, and strong initiative that will integrate well with our existing group of outstanding professionals.
  • Have an aptitude towards technology and seeks technological innovation in the day to day.
  • Possess a valid driving licence.
  •  Be fluent in English and preferably Italian.

Candidates would ideally have experience in projects’ leadership or coordination within the furniture or building industry, but training will be provided to ambitious individuals who lack the experience.

Due to the ensuing growth, JoinwellFXB is looking for an Accounts and Administration Specialist to work in our Xewkija Offices located in Gozo. The candidate needs to be responsible for assisting with both accounting and administrative tasks within a manufacturing industry.

Key Responsibilities:

  • Handling the day-to-day financial transactions and maintain accurate records
  • Process invoices, payments, and expense reports in a timely manner
  • Reconcile bank statements and ensure accuracy in financial documentation
  • Handle the Time and Attendance of employees for payroll preparation
  • Other general administrative tasks to ensure smooth office operations

Preferred Skills and Qualifications:

  • A’ Level Standard in Accounts
  • Proficient in Microsoft Office Applications
  • Good Standard of English language
  • Excellent organizational and multitasking abilities
  • Strong attention to detail and accuracy
  • Already living in Malta or Gozo and ready to relocate to Gozo
  • Having previous similar experience is a plus

Production Coordinator (Gozo)

Due to the ensuing growth, we are seeking (or looking for) a Production Coordinator for our Gozo Factory. His/her primary role will be to assist the Factory Manager on the day-to-day requirements including production planning and control.

Key Responsibilities:

  • Help the Factory manager in coordinating production workflows
  • Monitor the inflow of orders and ensure that relevant job sheets are issued
  • Coordinate with the Factory Manager the planning and prioritizing of operations to ensure maximum performance and minimum delay
  • Help the Factory Manager in monitoring jobs to ensure they will finish on time and within budget
  • Addressing issues when they arise aiming for minimum disruption
  • Obtaining output information (number of finished products, status of orders, )
  • Keeping data updated and organized
  • Collaborating with quality control, warehouse and other staff 

Preferred Skills and Qualifications:

  • Proven experience in a Production environment
  • Knowledge of production planning and quality control principles
  • Working knowledge of MS Office and ERP systems

Key Responsibilities:

  • Engage directly with clients in the showroom to understand their furniture requirements, preferences, and budget.
  • Demonstrate in-depth knowledge of the various furniture products, materials, and brands available at JoinwellFxb.
  • Provide design consultancy services to clients, offering suggestions and recommendations based on their preferences and space requirements.
  • Prepare accurate quotations based on the selected products and designs and converting inquiries into successful sales.

Responsibilities:

  • Prepare accurate CAD production drawings based on furniture design sketches
  • Compile job sheets and formulate bills of quantities
  • Develop and adapt plans as per project requirements

  • Collaborate with the design and production teams to ensure seamless execution of projects

Requirements:

  • Proficiency in CAD software
